1. Submission of Documents
All documents must be submitted through our secure online portal, encrypted email, or provided via encrypted physical storage media. We do not accept document links to unverified cloud services for printing to avoid potential malware injection or unauthorized access logs.
2. Digital Transmission Security
SheSecures utilizes industry-standard Transport Layer Security (TLS) for all digital document intake. Clients are encouraged to password-protect highly sensitive files before transmission and provide passwords through a separate communication channel.
3. Preferred File Formats
PDF format is strongly recommended for all printing requests to ensure layout integrity and minimize the risk of metadata leaks associated with editable document formats. We also support standard image formats (JPEG, PNG) for specific document types.
4. Document Review for Compliance
Upon receipt, document handlers perform a brief technical review to ensure the file is printable. We do not read the specific contents of your documents unless necessary to solve a formatting error that prevents successful printing.
5. Extended-Hours Access Controls
Our printing facility remains locked and alarmed during extended hours. Only authorized document specialists with verified biometric or keycode access are permitted in the printing area during service windows.
6. Printing Queue Management
Documents are processed in a secure, non-public queue. Files are not 'staged' on unencrypted print servers; they are sent directly from secure workstations to the localized printer buffer and cleared immediately after successful output.
7. Physical Document Isolation
Each client's printed materials are kept in localized, labeled bins during the printing process to prevent co-mingling. No two clients' documents are ever placed on the same sorting surface simultaneously.
8. Secure Waste Handling
Any misprints, test pages, or paper jams containing client information are immediately placed into a P-4 cross-cut shredder. We do not store discarded client documents in standard recycling bins.
9. Packaging and Sealing Protocols
Finished documents are placed in opaque, moisture-resistant envelopes or folders. All packages are sealed with tamper-evident tape, ensuring that the documents remain private from completion through final delivery or pickup.
10. Delivery Chain of Custody
For courier deliveries, a signature and photo ID verification is required. Couriers are trained in discrete handling and are prohibited from opening or inspecting the contents of sealed envelopes.
11. In-Person Pickup Requirements
Clients opting for late-night pickup must present a valid government-issued photo ID that matches the name on the service order. Documents will not be released to unauthorized third parties without prior written consent.
12. Digital File Retention Period
Unless a client requests otherwise, digital files submitted for printing are permanently deleted from our secure workstations within 24 hours of successful job completion and delivery.
13. Certified Document Destruction
Clients may request a Certificate of Destruction for any physical originals provided for scanning/printing that they do not wish to have returned. Destruction is performed on-site via secure shredding.
14. Staff Confidentiality Agreements
All SheSecures employees and contractors must sign rigorous Non-Disclosure Agreements (NDAs) and undergo background checks prior to handling client documentation.
15. Third-Party Disclosure Policy
We do not sell, trade, or otherwise transfer client information or document metadata to outside parties. We only share information when required by law to comply with a valid subpoena or court order.
16. Policy Updates and Inquiries
SheSecures reserves the right to update this privacy policy to reflect new security technologies or regulatory changes. Inquiries regarding our handling procedures may be directed to our compliance officer.
